Step 1: Choose your plan

- Professional (R5,999/month) — Voice + WhatsApp notifications, 500 included minutes. Best for businesses where WhatsApp follow-up would add significant value — appointments, bookings, quote-based services.
- Business (R9,999/month) — Full voice + WhatsApp agent + outbound campaigns + web widget, 1,000 minutes. Best for higher-volume businesses or those wanting the full omnichannel setup.
- MedDesk (R16,999/month) — Full suite for medical practices, including MedNotes consultation documentation and POPIA-compliant patient communication workflows.
If you're unsure, start with Professional. Most businesses find it covers their needs, and upgrading later is seamless.
Step 2: Book your onboarding call
The onboarding call is where 90% of the setup happens. It's a 30–45 minute call (you can book it at agenthelp.co.za/book) where we collect everything needed to configure your AI agent:
- Your business name, description, and brand voice/tone
- Services you offer and specific FAQs the AI should answer
- Booking rules (which appointment types can the AI book directly vs which need human review)
- Emergency escalation instructions (for medical practices, trades emergencies, etc.)
- After-hours instructions (what happens when someone calls at 10pm)
- Staff names and departments for call routing if needed
- Your calendar system for booking integration
The more specific you are in the onboarding call, the more your AI will sound like your business rather than a generic receptionist. The goal is for a patient or client to hear your AI and think "that's exactly how [Business Name] talks."
Step 3: Your SA phone number is provisioned
Agent Help provisions a South African 087 number through our SA telephony infrastructure. This happens automatically after onboarding — you don't need to do anything. The number is live within hours.
You have two options for how this number works:
New dedicated number — Agent Help provides a new 087 number that becomes your AI receptionist's direct line. This works well if you're adding AI as an additional channel rather than replacing an existing number.
Call forwarding from your existing number — Your existing business number forwards to the Agent Help AI when unanswered (typically after 3 rings). This is the more common setup — from your customers' perspective, nothing changes. They call the same number they've always called. The AI answers if you're unavailable.
Step 4: AI training and configuration
Using the information from the onboarding call, we build your AI's knowledge base and configure the call flow. This includes:
- Selecting and fine-tuning your AI's voice from our voice platform's library (or cloning your existing receptionist's voice if preferred)
- Writing and testing the opening greeting
- Building the FAQ knowledge base from your business information
- Setting up the booking flow integrated with your calendar (our booking system, Google Calendar, or Outlook)
- Configuring escalation logic for urgent calls
Step 5: WhatsApp setup (Professional, Business, MedDesk)
For plans that include WhatsApp, we provision a our WhatsApp platform account or our WhatsApp integration number and build your message templates. Meta requires template pre-approval for outbound messages — standard templates (booking confirmations, appointment reminders) are approved within 15 minutes to 24 hours.
We also build the our automation workflow that connects your AI's call completion events to the WhatsApp trigger — so the moment a call ends with a booking, the WhatsApp fires automatically.
Step 6: Test calls and approval
Before going live, you test-call your new number and experience it as a client would. This is the most important step — not because there are typically problems, but because hearing your business's AI for the first time often surfaces small adjustments you want to make: a phrase that doesn't sound right, a question the AI should handle differently, an escalation rule you'd forgotten to mention.

Step 7: Go live

What happens in the first month
