15 Questions to Ask Before Choosing an AI Receptionist for Your SA Business

Before you commit to an AI receptionist for your South African business, ask these 15 questions — about POPIA compliance, WhatsApp support, load shedding resilience, pricing, and setup time.

Choosing an AI receptionist for your South African business is a bigger decision than it might appear. The wrong choice means POPIA exposure, a voice that doesn't represent your brand, surprise bills for call overages, and — potentially — customers who have a worse experience than they did before you installed the system.

Before you sign up for anything, ask these 15 questions. They're the questions we answer for every potential Agent Help client, and they'll help you evaluate any AI receptionist honestly — including ours.

Does it support South African phone numbers?
Many AI receptionists appearing in Google searches are US products that don't support SA phone numbers. If they can't provision or work with a local 087, 010, or 011 number — and integrate with your existing business number — they're not a viable option regardless of how good the product otherwise is. Ask specifically: "Can I use my existing SA business number with this service?"
Is it POPIA compliant and do you have a DPA?
Every SA business using an AI receptionist is a responsible party under POPIA. The AI provider is an operator. You need a written Data Processing Agreement. Ask: "Can you provide a POPIA-compliant Data Processing Agreement?" If the answer is uncertain or takes more than 24 hours to produce, treat that as a serious red flag.
Does it integrate with WhatsApp Business API?
Email follow-ups are largely ignored in South Africa. SMS is outdated. If your AI receptionist can't trigger automated WhatsApp messages as part of its post-call workflow, you're missing the single highest-impact communication channel for SA consumers. Ask for a specific demo of the WhatsApp integration, not just a "yes we support WhatsApp" checkbox.
Is it load shedding proof — and how?
Ask: "If my office has no power and no internet, do calls still get answered?" The answer should be an unqualified yes. If it depends on your office infrastructure in any way, push back. A properly cloud-native AI receptionist continues functioning regardless of what happens to your office's connectivity or power.
How long does setup take and is there a setup fee?
A well-designed AI receptionist should be live within 24–48 hours of signup for most business types. If the answer is "2–4 weeks of onboarding" that's a product complexity problem, not a feature. Also ask about setup fees separately — some providers charge R2,000–R10,000 for initial configuration, which is not always clearly signposted in the plan pricing.
What happens when the AI can't handle a query?
This question reveals how the provider thinks about edge cases. Good answers include: "It acknowledges it can't help, takes a detailed message and promises a callback by [time]" or "It transfers to a specific number you configure." Red flag answers: "It just says it doesn't know" with no follow-up mechanism, or vague promises about "escalation" without specifics.
Can it book appointments directly into my calendar?
Many "AI receptionists" take a message and promise a callback rather than actually completing a booking. If you want zero friction between a caller expressing interest and a confirmed appointment appearing in your calendar, this needs to be a direct integration — not a message-and-callback system. Ask: "Will the AI book confirmed appointments directly into my Google Calendar/Outlook/our booking system in real time?"
What does "per minute" billing actually mean for my monthly cost?
Most AI receptionist plans include a set number of minutes and charge overage beyond that. Ask: "What is the overage rate per minute if I exceed my plan?" and "What does my average call volume suggest my total monthly bill will be?" Run the numbers in ZAR, not USD.
Are there hidden costs I should know about?
The costs that catch businesses by surprise are: WhatsApp message fees (separate from the platform subscription), per-user fees for multiple staff on the inbox, overage minutes, and — for WhatsApp specifically — the provider's markup on Meta's base message rates. Ask for a "worst case monthly invoice" based on your expected volume.
Does it have specific features for my industry?
A generic AI receptionist configured for a trades business is very different from one configured for a medical practice. Industry-specific features (emergency escalation for medical, urgency detection for trades, patient consent handling for healthcare) are typically only available from providers who have specifically built for your vertical. Ask: "Do you have clients in [your industry] and what specific features do you have for us?"
Can I hear a demo before signing up?
This should be a non-negotiable. Any AI receptionist provider that won't let you call a live demo number before committing is not confident in their product. The test is simple: call the number, have a real conversation about your industry's typical queries, try to trip it up. If it handles that well, you have your answer. If it struggles — you've saved yourself a commitment to the wrong tool.
What is the minimum contract period?
Month-to-month contracts with no lock-in are the standard among reputable AI receptionist providers. If a provider requires a 6 or 12-month minimum contract upfront, ask why. The best providers don't need contracts — they retain clients because the product works.
Who supports you when something goes wrong?
If the AI mishandles a call at 8am on a Monday and you need it fixed before 9am patient appointments, who do you call? Ask specifically about: support hours, response times, and whether support is SA-based. A US-based support team operating on PST time is 9 hours behind SA — "same-day support" might mean the next SA business day.
Can you customise the voice and tone?
Your AI receptionist should sound like your business — not like a generic corporate voice. Ask about voice selection, tone customisation, and whether you can train the AI with specific phrases, greetings, and personality traits that reflect your brand. The difference between "You've reached the reception of [Practice Name]" and "Good morning! Thanks for calling [Practice Name], I'm here to help" might seem small. To your clients, it's the first impression your business makes.
What does it cost for my specific call volume?
Get a tailored quote based on your actual or estimated monthly call minutes. Most business owners underestimate their call volume significantly. Ask the provider to help you estimate based on your business type — a GP practice handling 60 calls per day at 3 minutes average needs a very different plan to a plumber receiving 15 calls per day at 2 minutes average. The right plan will save you overage fees and ensure you're not paying for capacity you don't need.
